With the Convento dialog management, you are improving your dialog with target groups: You'll get in touch with your contacts simply and fast via all channels and in a customized way. And you will document these activities in a manner which is transparent for yourself and for others.

With its dialog manager, Convento offers you a powerful and intelligent dispatch/mailings and campaign management, including individualized dispatch times and automatic call-back or returns processing.

With e-mail based campaigns, the address data in your Convento database are automatically updated.
And finally, the automatic link of an online registration form allows you to provide for the immediate takeover of new entries, modifications or deletions in your database.




Analyses

Consistent work with Convento allows success control on all levels: Check the frequency and content of your contacts with major contacts. Check internal reaction times: How long did it take – from the journalist's request to the official statement? Check the contents: Which activities regarding a specific topic have already been run? Examine your presence in specific media and evaluate the success of your activities. Analyze the response to your press releases or mailings, conferences, events.

Via the report centre, Convento offers already about 100 standard analyses: from the personal and media profile, via the activities and success control following e-mail campaigns, status reports following fax mailings, up to lists of participants at events. The Convento clip manager alone offers already about 80 possible analyses: from press review to list of presence, to sophisticated image evaluations. Moreover, the Convento report centre provides a Web-based portal which enables the preparation and use of a large number of informative reports.




Project and event management

The project management helps you to keep track since all activities are allocated to one project. You can subsequently simply demonstrate to your client or customer on which projects you have worked how intensively. But project management is also expedient for any advance planning of activities and resources.

With Convento, you will plan, accompany and overview your project and event organization: From invitation via the management of participants, including all detailed organizational data – all the way to an analysis of the response and reaction to your event. Such data can also be readily exported to the scheduling/appointment calendar of your e-mail client.


Office integration

Convento provides for the comprehensive integration of all major e-mail clients such as MS Outlook, Lotus Notes, Groupwise, Simple Mapi and Extended Mapi. With Convento, addresses from the database can be transferred to your Outlook or Notes contact files and thus make them usable for any colleagues without Convento or for your blackberry. Not only that: Convento supports the synchronization of your data in both directions: E-mails, assignments and contacts which you set up in Convento will thus be automatically transmitted to your local Outlook or Lotus Notes – and vice versa.




E-mail management / Bounced mails

You can write e-mails directly from Convento and file them in parallel in Convento as well as in your e-mail client. In contrast, Convento allows reading your incoming and outgoing e-mails from your e-mail client into Convento where they are stored in the corresponding personal record. Thus, undeliverable "bounced mails" can be automatically read into Convento and marked for research. Convento can search all e-mails filed in the database according to the most variable criteria and subjects and display them in summary. You can thus manage and control contacts in a transparent and flexible manner.




Document management and Word integration:

With Convento, it is easy as child's play to create and archive any and all Word documents. Transfer all desired data directly into your document and save automatically. The document manager offers you a complete overview by subjects for all documents and samples and their use.




Media and investor databases

With Convento, you will gain maximum flexibility in terms of the use of your media databases: You can work without any external media database or, if necessary, you can also optionally use one or several media databases for your research and the enrichment of your system. You thus have virtually all relevant providers available. Only Convento offers you such latitude. 




Clip management

You want to directly connect your articles with the journalist and the medium? Individually generate press reviews in Convento at the touch of a button? Establish your own electronic clippings archives? Prepare a media analysis in passing? Then, our clip manager will be just right for you.

Interfaces and cooperation features with virtually all media observers are available – closely following the Convento motto that "our users decide with whom they want to collaborate". And to keep your work load manageable, we'll also get your media observer on board.




Web hosting and housing

There's nothing like flexibility: Use Convento either Web-based via our data processing service centre or as a genuine in-house solution on your network. Access to your local database is also possible via the Web. Collaboration of multiple locations in one database works as well via Convento ASP or Convento.NET. All variants are conceivable.




Contact and relations management

Many workflows in Public Relations can be standardized. Convento helps you to optimize these flows by intelligently representing, depicting and supporting typical work situations: Write an e-mail to a person in Convento and subsequently assign yourself a duty at the touch of a button. Or set up a phone memo as a contact. In one step, you'll make it a fixed assignment, inform colleagues via e-mail about the phone call and send your phone partner an e-mail for confirmation.

Convento provides an archive in the "contact history" for every personal record, with regard to all activities having taken place in connection with this person: Starting with e-mails and phone memos via the distribution list to which the person is allocated; the mailings the person received; events attended, as well as documents received and clippings connected with that person – all the way to the person's background and career path, relationships to other persons in the database and personal information about the person. Thus, the more consistently you work in Convento, the more complete and the more informative this transparent source of information will grow and become ever more indispensable for all employees.

Hotline
For your individual queries and problems, our hotline staff will be pleased to be of assistance to you on workdays from 8:00 a.m. to 6:00 p.m. Outside of these core hours, you can arrange special standby periods with us.

Free of charge in-house training for subscription customers
At our headquarters in Neuss, quarterly "open training" sessions take place which are free of charge for our subscribers. This will be just the right thing if you want knowledge enhancer or refresher sessions. These all-day courses take place on three consecutive days and follow each other in terms of content: From a basics course over the continuation course for advanced users, up to the power user workshop on the third day.

Individual online training
Convento offers individual online training for users who want to handle special priority subjects or specifically obtain information on new features of a Convento version. Such efficient individual training runs via ASP or Netviewer and takes a maximum of two hours.

Data integration and updating
One of our standards is the takeover of existing data from your "old" system – whatever the sources. Self-evident are, for example, Excel, Outlook, Notes or Filemaker. Data once taken over to Convention from research databases are updated monthly together with the research database.

Online registration
Convento designs an online registration form for you, and its automatic link allows an immediate takeover of new entries, modifications or deletions in your Convento database.

Update and maintenance of your address data and distributions
Upon request, Convento updates your complete stock of data by e-mail campaign: We'll design a feedback form for you which is sent by e-mail to your addressees. They will check their data, update them and return the form with their corrections to us. Subsequently, the corrections are entered in Convento and reconciled with the corresponding personal records.

Distribution research/distribution by topics
Tailor your distributions to your topic – the better your chances for reports about your product or enterprise. We'll research distributions for you – even about special subjects – including the individual contact in the editorial office with his/her contact data.

Mailings and event organization
We'll send your press material – by fax, e-mail or postal service. Convento also takes over writing the text and mailing of invitations – from your database or through us. We'll invite in your name to your events, check back by phone and take over the mailing of information or travel documents.

Report centre
The Convento report centre is a Web-based portal enabling the preparation and use of many informative and significant reports. Upon request, we'll prepare these reports for you. Convento offers you a standard of about 100 potential evaluations: starting with personal and media profiles; going over to activity and success control following e-mail campaigns; status reports after fax mailings, all the way to lists of event participants. The Convento clip manager alone provides about 80 of these analyses or evaluations – from press review to reference list to elaborate image analyses.

Integration of clippings free of charge for subscribing customers
At no extra cost, Convento offers you the organization of a clippings archive and the comprehensive evaluation of your relations to the media and journalists. To this end, Convento integrates the press clippings in the database and assigns them to the already existing media and journalists. This service is free of charge within the scope of a subscription.
